FOR FLOORING SUBCONTRACTORS

Keep flooring subcontractor paperwork organized before work starts.

Flooring and tile subs are often small businesses. The basics are insurance and a W-9, with silica control when they cut tile, stone or concrete.

Common document categories

Certificate of insurance (COI)

General liability and workers’ compensation at the limits your contract or owner requires, plus auto liability when the sub drives to site. Many GCs also ask for additional insured, waiver of subrogation, and primary & non-contributory endorsements.

W-9

For 1099 reporting before the first payment.

Safety program and training

Where crews cut tile, stone or concrete, a silica exposure control plan is a reasonable ask on commercial jobs.

Trade license

Some states and cities license flooring or home-improvement contractors. Licensing rules are set by each state, and sometimes by the county or city, so check what applies where the job is.

Lead-safe certification

When removing flooring disturbs painted surfaces in pre-1978 homes or child-occupied facilities, EPA RRP firm certification can apply.

Bonding

On public or bonded jobs, a bonding capacity letter and performance and payment bonds may be required, as the contract specifies.

Requirements vary by state, locality, owner and contract. This is a general starting point, not legal or insurance advice. Your contract and local rules decide what’s actually required.

Questions to resolve before review

  • Removing old resilient flooring or adhesive in older buildings can disturb asbestos. Ask whether the floor has been tested before demolition of existing finishes.

How SubSignoff supports the workflow

  1. Create the project and pick a job type (residential remodel, new home, light commercial, commercial, or public/bonded). SubSignoff suggests editable starting requirements for that job type, such as insurance types, limits, endorsements, W-9 and license.
  2. Add Flooring as a trade on the job. The job-type requirements apply; add any extra documents you want for this trade. Everything stays editable.
  3. Send the sub a portal link. The sub, or their insurance broker, uploads documents from a phone or computer without creating an account.
  4. Review and track. Check each document against the project’s requirements, record your decision, and send reminders before recorded expiration dates.

SubSignoff records what documents say and whether they meet the requirements you set. It doesn’t confirm coverage with insurers or verify licenses with the state. Check licenses with the issuing agency; for some states SubSignoff links to the official lookup page.
